AI in Hub

What does the AI in Hub actually do?

The AI in Hub handles the time-consuming writing and admin that small business owners tend to put off. It can draft replies to emails, write blog posts, social media posts, newsletters and web page content, prepare quotes, summarise long email threads, suggest follow-ups for customers who've gone quiet, and help you find a free slot in your diary.

What makes it different from using a general AI chatbot is that it works inside your business data. When it drafts a reply to a customer, it already knows who they are, what you've quoted them, when you last spoke and what's booked in. You don't have to copy and paste information into it or explain the background every time.

Think of it as a capable assistant that's read all your files. It does the first draft, and you decide what goes out.

Will the AI write in my brand voice?

Yes. When you set up Hub, you create a Brand DNA profile covering how your business sounds: your tone, the words you use and avoid, how formal you are, and what makes you different. Every piece of content the AI writes, from emails to blog posts to social media, uses that profile, so everything sounds consistently like you rather than like a generic AI.

You can update your Brand DNA at any time as your business changes, and every draft stays fully editable before anything is published or sent.

Does the AI send emails or post anything without my approval?

Not unless you choose to let it. By default, the AI in Hub prepares drafts and suggestions, and a person reviews and approves them before anything goes to a customer or appears in public.

If you'd like to save more time, you can choose to schedule some content, such as regular social media posts, to publish automatically. That's always your decision, you can see everything that's queued, and you can pause or edit it at any time.

Is my business data used to train AI models?

No. Your customer records, emails and documents are used only to provide the features you're using in Hub, such as drafting a reply or summarising a conversation. We don't sell your data, and we don't use it to train AI models.

The AI providers Hub works with are used through their business services, which don't use customer data to train their models. Your data is handled in line with UK GDPR, and you can find the full details in our privacy policy.

Do I have to use the AI features?

No. Hub works perfectly well as a website, CRM, email, calendar and invoicing platform without ever touching the AI. The AI features are there to save you time when you want them, and they stay out of the way when you don't.

Many clients start by using Hub without the AI, then gradually try it for the jobs they least enjoy, like writing blog posts or chasing unpaid quotes. There's no pressure to use it, and no penalty for not using it.

Features & Modules

Can I sell products online with Hub?

Yes. Hub includes online shop features: product listings and categories, a shopping basket and checkout, card payments, order management, shipping options and discount codes. Orders and customers go straight into your CRM, so you can follow up, send offers and see each customer's full history in one place.

Does Hub include email marketing and newsletters?

Yes. You can build and send newsletters, manage subscriber lists and sign-up forms, and see who opened and clicked. Hub's AI can draft newsletters in your brand voice, and because it's connected to your CRM you can send to specific groups of customers rather than everyone at once. Unsubscribes and suppression lists are handled for you, in line with UK email marketing rules.

Can my team use Hub together?

Yes. You can add team members, give each person access to the areas they need, assign tasks, and chat with each other inside Hub. Everyone works from the same customer records, so nobody has to ask "did anyone reply to this person?" again. An audit log shows who changed what and when.

What's included in Hub?

Hub brings the everyday tools a small business needs into one connected platform: your website and blog, a CRM and sales pipeline, email and newsletters, a calendar with online booking, social media planning and publishing, quotes and proposals, forms and popups, tasks, team chat, and SEO reporting. Online shop features, memberships and customer portals are available for businesses that need them.

Because it's all one system, your customer information lives in one place. A booking, a form enquiry and an email from the same person all appear on the same customer record.

Getting Started & Onboarding

How do I get started with Hub?

Choose the plan that suits you on our packages page, create your account, and you'll go straight into Hub's guided setup. There's nothing to install, and it works in any modern web browser on your computer, tablet or phone.

The setup walks you through everything one step at a time, in the order that makes sense, so you're never left staring at an empty dashboard wondering where to begin. If you'd rather talk it through with someone first, get in touch and we'll happily show you around.

What does the setup involve?

Hub's guided setup takes you through a short series of steps, and shows you what's done and what's left:

Connect your AI, so Hub can write for you.
Your business: your name and what you do, which everything else builds on.

Brand DNA: how your business sounds, so everything Hub writes sounds like you.

Your marketing plan.

Bring in your people: your customers and contacts.

Email sending, so your newsletters and messages reach inboxes.

Your scheduler, so customers can book time with you.

Social media, so you can plan and publish posts from one place.

Each step explains why it matters, and you don't have to do it all in one sitting. Hub remembers where you got to and sends you a friendly reminder if you've paused for a while.

Do you set it up for me, or do I do it myself?

Most people set Hub up themselves using the guided setup, and it's designed so you don't need any technical knowledge to do it. If you get stuck on a step, there's a built-in setup assistant that explains what's gone wrong in plain English and tells you exactly what to do next.

You're never on your own, though. If something isn't working or you'd prefer a hand, our team is here to help, and we're the same people who built Hub. If you're moving from a WordPress website, we handle the website move for you.

Can I bring my existing customers and contacts into Hub?

Yes. The "Bring in your people" step in setup lets you import your existing customers and contacts, for example from a spreadsheet or another system you've been using.

Hub is careful with imports. It spots duplicates, recognises when the same person appears twice with slightly different details, and doesn't mistake someone's Gmail or Hotmail address for their company. Your contacts come in clean and ready to use, rather than as a messy list you'll spend weeks tidying.

Do I need my own AI account to use Hub?

Yes. Hub connects to your own AI account, such as ChatGPT (OpenAI), Claude, Gemini or Grok, and uses it to write in your brand voice. Connecting it is the first step in setup.

We do it this way for two reasons. First, you only pay the AI provider for what you actually use, at their own prices, with no mark-up from us. Second, your AI account stays yours, under your control.

Setting up an AI account takes a few minutes, and Hub's setup assistant guides you through it. The most common snag is a new account that doesn't have a payment method added yet, and Hub will tell you clearly if that's the problem.

Integrations

Which tools does Hub connect with?

Hub connects with the tools most small businesses already rely on, including Google (Analytics, Search Console, Calendar and YouTube), Microsoft 365 and Outlook, Facebook, Instagram, LinkedIn and Stripe for card payments, and QuickBooks, Xero and FreeAgent for accounts. Hub also works with your existing email accounts, so you don't need to change email provider.

Does Hub work with Google?

Yes. You can connect Google Calendar so your diary stays in sync both ways, Google Analytics and Search Console so you can see your website traffic and search performance inside Hub, and YouTube so you can track your channel and reply to comments. Each connection is optional, and Hub only asks for the access that feature needs.

Does Hub work with Microsoft 365 and Outlook?

Yes. You can sync your Outlook calendar with Hub and connect your Microsoft 365 mailbox to Hub's email client, using Microsoft's own secure sign-in, so you never have to hand Hub your password.

Can Hub connect to my accounting software?

Yes. You can securely connect QuickBooks, Xero or FreeAgent to Hub today. [Once available: "Invoices and payments then flow straight into your books, so there's no double entry."] Hub isn't accounting software itself; it works alongside the package you and your accountant already use.

Can I take card payments through Hub?

Yes. Hub uses Stripe to take card payments securely, for online shop orders, invoices and bookings. Stripe handles the card details directly, so they never touch Hub, and payments go straight into your own Stripe account.

Moving from WordPress

Will I lose my Google rankings if I move from WordPress to Hub?

Not if the move is handled properly, and that's the part we take care of. Before switching anything over, we map every existing page and blog post to its new address, carry across your page titles and meta descriptions, and set up permanent (301) redirects so Google and anyone with an old link lands in the right place.

It's normal to see some small ups and downs for a few weeks while Google recrawls the site. After that, most sites do better than before, because Hub pages are faster, cleaner and come with structured data built in. When we moved our own site from WordPress to Hub, our visibility in Google search grew steadily over the months that followed.

We also watch your Google Search Console after launch, so if anything needs attention we'll spot it early.

What happens to my existing pages, blog posts and images?

They come with you. We move your pages, blog posts, images and documents across to Hub, so you don't have to rewrite or re-upload anything.

We also use the move as a chance to tidy up. Old test pages, broken links and oversized images that slow your site down can be cleaned up or left behind, but only with your agreement. Nothing gets deleted without you knowing about it.

If there's content you'd like to update or rewrite, the move is a good time to do it, and Hub's AI tools can help you refresh older posts quickly.

Will my website go offline during the move?

No. We build your new site on Hub while your WordPress site carries on running exactly as it is. You can review everything, ask for changes and sign it off before anything goes live.

When you're happy, we switch your domain over to Hub. For your visitors, one day they see the old site and the next they see the new one, with no gap in between. Your email isn't affected by the switch.

The overall timeline depends on the size of your site, and we'll agree it with you up front so there are no surprises.

What about my WordPress plugins?

Most WordPress sites rely on a stack of plugins for things like contact forms, SEO, popups, booking, backups, security and speed. In Hub, those jobs are already built in, so there's nothing extra to install, update or pay for, and nothing that breaks when one plugin clashes with another.

Forms, popups, SEO settings, FAQs with schema, testimonials, case studies, bookings and your blog all come as standard, and they're connected to your CRM. That means a form submission or a booking goes straight into your customer records instead of sitting in an inbox.

If you use a specialist plugin for something unusual, tell us what it does before the move and we'll let you know honestly whether Hub covers it or what the alternative is.

Can I still edit my website myself?

Yes. Hub has a visual editor that lets you change text, swap images, publish blog posts and add new pages without any technical knowledge. You can also use the build AI helper to make the changes for you. There are no plugins to update, no security patches to worry about, and no risk of an update breaking your layout.

If you'd rather not do it yourself, we can make changes for you, and many clients use a mix of both. You can also use Hub's AI tools to draft new pages, blog posts and FAQs in your own brand voice, then edit them before they go live.

How much does Hub cost?*

Are there setup fees or long contracts?

The setup fee is £499 and there is a 24 months contract.

Is it cheaper to pay annually?

Yes. You can pay monthly or annually, and annual billing [saves you around 20%. You can switch from monthly to annual at any time.

Do I pay for the AI separately?

Yes. Hub uses your own AI account, such as ChatGPT (OpenAI), Claude, Gemini or Grok, and you pay the AI provider directly for what you use, at their prices, with no mark-up from us. You can set a monthly AI spending limit in Hub so costs never run away from you.

Security, Data & GDPR

Where is my data stored?

Your data is stored on secure servers in the UK and Europe. Where any of our trusted service providers process data outside the UK, we make sure appropriate safeguards are in place, as required by UK GDPR. Full details are in our privacy policy.

Is Hub UK GDPR compliant?

Yes. Hub is built to meet UK GDPR, the Data Protection Act 2018 and PECR, the UK rules on email marketing. When you store your customers' information in Hub, you remain in control of it and we act as your data processor, under a data processing agreement. Hub also gives you the tools you need to meet your own obligations, such as handling unsubscribes and responding to data requests.

Who owns my data?

You do. Everything you put into Hub (your customers, content, emails and files) belongs to your business. We only use it to provide Hub's features to you. We never sell it, and we don't use it to train AI models.

How do you keep my data secure?

Hub uses encrypted connections throughout, and sensitive details such as passwords and connection keys for your other accounts are stored encrypted. You control who in your team can access what, and an audit log records who changed what and when. When you disconnect another service, such as a social media account, Hub deletes its access to that service straight away.

What happens to my data if I leave Hub?

It's yours to take with you. You can export your contacts and other key information before you go. When you close your account, your data is permanently deleted within 30 days, except for billing records, which UK tax law requires us to keep for six years.

How do I get help if I'm stuck?

You can raise a support request from inside Hub and track it until it's resolved. Hub also has step-by-step user guides, and a built-in help assistant during setup that explains problems in plain English. Our support comes from the team who built Hub, so you're talking to people who know it inside out.

How quickly will you respond?

We aim to respond to all support requests within 24 working hours, Monday to Friday, 9am to 5:30pm. Urgent problems, such as your website being down, are always prioritised.Also we have a very sophisticated AI support chat that is available 24/7

Can I cancel at any time?

Yes. Monthly plans can be cancelled at any time with 30 day notice, and annual plans run to the end of the paid year." Before you leave, you can export your data, and we'll help you move your domain if you need to. But keep in mind there is a 2 year contract period from when you sign up so if you want to cancel before this initial 2 years are up we will expect you to cover the cost of the full 2 years of service.

Can I upgrade, downgrade or add modules later?

Yes. You can change your plan or add modules at any time as your business changes, and new features appear in your account straight away.

Can I add more people from my team?

Yes. You can invite team members and choose what each person can see and do. This can be done from the teams section of Hub

Will my website be fast?

Yes. Hub websites are built to load quickly, without the heavy themes and stacks of plugins that slow many WordPress sites down. Speed matters for more than first impressions: Google uses it as a ranking factor, and slow sites lose visitors before the page has even appeared.

What SEO features are built in?

The SEO basics are handled automatically: clean page structure, editable page titles and descriptions, XML sitemaps, and structured data (schema) that helps search engines understand your business, your FAQs, your reviews and your content. Hub also includes local SEO tools for businesses that serve a particular area, and it connects to Google Search Console and Google Analytics so you can see how your site is performing without leaving Hub.

Is my website ready for AI search, like ChatGPT and Google's AI Overviews?

Yes. More and more people now ask AI tools questions instead of searching Google, and those tools favour websites that are clearly structured and easy to understand. Hub adds structured data automatically, including FAQ schema from pages like this one, and helps you write content that answers the questions your customers actually ask. That gives you the best chance of being quoted and recommended by AI search tools as well as traditional search engines.

Can I use my own domain name?

Yes. Your website runs on your own domain, such as yourbusiness.co.uk. If you're moving from another platform, we handle the switch-over for you so there's no downtime, and your email carries on working as normal.

Will my website work well on mobile phones?

Yes. Hub websites adapt automatically to phones, tablets and desktops, so visitors get a good experience whatever device they use. Google also ranks websites based on their mobile version, so this matters for your search visibility as well.

What is Hub?

What does Hub replace?

Hub replaces the collection of separate tools most small businesses end up paying for and switching between every day. Instead of a website platform, an email marketing tool, a social media scheduler, a booking app, a CRM and a separate invoicing system, you get one login, one monthly bill and one place where all your customer information lives.
